HandoffHatch guide

A clear first week starts with a clear handoff.

Coordinate a new hire from the first record to the final follow-up with one practical sequence: checklists, responsible people, deadlines, reminders, and a view of what remains.

A repeatable routine

Six moves for a smoother new-hire handoff.

Follow the same path for each hire, then adjust the tasks and timing to fit the work your team owns.

  1. Step 01

Create or review the hire record

Start in the workspace with the person and their start date in view.

Create a hire record, or review the existing record before work begins. Keep the record focused on the basic details your team needs for coordination; employee documents stay with your business.

  2. Step 02

    Apply or assemble a checklist

Use a saved checklist template or add the tasks this hire actually needs.

Workspace owners can save reusable, owner-authored checklist templates in Checklist templates. From a selected hire’s detail view, apply a saved checklist or assemble the onboarding task list directly.

  3. Step 03

Assign every task to a responsible person

Make the next handoff clear by giving each task an assignee.

Open the hire’s Onboarding tasks and set the Assignee for each handoff. Use the people who need to act—such as a manager or team lead—so ownership is visible alongside the task name.

  4. Step 04

Set deadlines and check the week

Give work a due date, then use the calendar to see timing by hire and assignee.

Set a Due date on each task. If you use a saved template, its optional relative due day is counted from the hire’s start date when the template is applied. The Deadline calendar gives the team a weekly view of existing onboarding deadlines.

  5. Step 05

    Monitor completion as work moves

Return to the hire’s checklist to see what is open, in progress, or complete.

Use the hire’s checklist progress and task filters to follow the work. Each onboarding task carries a status, and the workspace keeps the handoffs, owners, due dates, and progress together for that hire.

  6. Step 06

Follow up on due, incomplete work

Use reminders and the outstanding-work report to choose the next follow-up.

Saved reminders surface due, incomplete onboarding tasks addressed to you after the scheduled coordinator run. For a wider review, open Outstanding onboarding work: incomplete tasks are grouped by hire and show due dates, assignees, and work status such as Open, In progress, or Overdue.

A firm product boundary

Your business stays responsible for employee records and HR decisions.

Your business retains employee documents and is responsible for deciding and verifying the HR compliance requirements that apply to it. HandoffHatch coordinates onboarding work; it is not a document vault, HR system, payroll system, HRIS, or compliance decision-maker.
